Effective date: 23 July 2026. This notice applies specifically to the Lodge’s online ticket-booking service.
1. Data controller and contact details
The controller responsible for the booking information described in this notice is The Ancient Masonic Lodge of Dundee No. 49.
2. Information we collect
Depending on the booking, we may collect:
- your name, email address and telephone number;
- team name and any team logo you choose to upload;
- event, ticket quantity, booking reference and ticket status;
- payment method, amount, payment status and a payment-provider reference;
- communications relating to the booking, refunds or event changes; and
- technical security information such as date, time, IP address, browser and server logs.
3. Why we use the information
We use personal information to:
- take and administer bookings and payments;
- issue QR tickets and Google Wallet passes where requested;
- send confirmations, event information and important changes;
- manage event admission, capacity, refunds and customer enquiries;
- prevent fraud, misuse and duplicate ticket redemption;
- maintain financial and operational records; and
- comply with legal and regulatory obligations.
4. Lawful bases
We normally process booking information because it is necessary to take steps at your request and perform the ticket contract. We may also process information to meet legal obligations and for legitimate interests such as event administration, record keeping, security, fraud prevention and resolving disputes. Where consent is the appropriate basis, you may withdraw it for future processing.
5. Card payments and Dojo
Online card payments are securely processed by Dojo, a trading name of Paymentsense Limited. Card information is entered on Dojo’s hosted checkout and is not stored by the Lodge. The Lodge receives limited payment information such as the payment reference, amount and status so that it can confirm the booking and issue the ticket.
Dojo processes personal data under its own privacy information, available at dojo.tech/legal/privacy.
6. Who we share information with
We may share only the information reasonably required with:
- Dojo and financial institutions involved in processing payment;
- website hosting, email, QR-code, Google Wallet and technical service providers;
- authorised Lodge officers, event organisers and door staff who need the information;
- professional advisers, insurers or auditors where necessary; and
- law-enforcement, regulators or other authorities where disclosure is required or lawful.
We do not sell booking information to advertisers.
7. Retention
We keep information only for as long as needed for the booking, event administration, accounting, dispute handling and legal requirements. Financial and booking records may be retained for applicable statutory periods. Operational admission lists and uploaded team logos may be deleted earlier when they are no longer required.
8. Security
We use reasonable organisational and technical measures to protect booking information. The website uses HTTPS, access to administration areas is restricted, and full payment-card details are handled by Dojo rather than stored on the Lodge system.
9. Your rights
Subject to applicable law, you may have rights to access, correct or erase personal information, restrict or object to processing, and receive certain information in a portable format. You may also withdraw consent where consent is relied upon.
To exercise a right, email info@lodgeancient49.co.uk. We may need to confirm your identity before responding.
10. Complaints
Please contact the Lodge first so we can try to resolve the concern. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.
11. Cookies and technical data
The ticket pages may use essential session cookies or similar technology where necessary to operate securely. The wider Lodge website may use analytics or other tools under its main privacy and cookie information.
12. Changes to this notice
We may update this policy to reflect legal, operational or technical changes. The effective date at the top identifies the current version.
